POSTCARDS EXHIBITION - SUBMISSION GUIDELINES

1.     Eligibility:

Open to all women and non binary photographers aged 18+ worldwide. Entries must be the original work of the participant

2.     Number of Entries:

Each participant may submit up to 3 photographs. Photographs should be submitted in JPEG format.

File size max: up to 10 MB per file.

If your project is selected, it will be printed from the file shared.

3.     Submit:

Create and submit a folder named: YOUR SURNAME_NAME.

Please, include in this folder:

  • The photograph(s) in JPG format. Recommended resolution max. 25 cm the long side at 300 dpi. Please name your files using the following format:
    LastName_FirstName_01.jpg, LastName_FirstName_02.jpg, etc

  • Τhe message for the postcard’s back side, which can be submitted in one of the following formats:

    • A word (.doc or .docx) file or pdf file containing a written message max 80 words and a recipient’s name (real or fictional), or a JPG image of a handwritten message, or drawing, or you may choose to leave the postcard’s back side blank (indicating however, again a real or fictional recipient’s name). Messages, when included, may be written in any language.

  • Your Info: You can send your information as a Word file (.doc or .docx) OR alternatively you can include the information directly in your email. Please provide your name, surname, Instagram and Facebook (if available), website (if available), and your contact details, including your phone number and email address. At the end of the document or at the end of your email, please copy and paste the following statement:“By submitting my work, I confirm that I have read and agreed to the terms and conditions outlined on the website”. They are stated below. Data will not be shared with third parties without consent.

  • A Short Bio (optional).

  • All entries must be sent via WeTransfer (www.wetransfer.com) or a similar file-sharing service (swisstransfer Google Drive, Dropbox, etc.) to submit@womensphotofestival.org

  • You should receive a confirmation email after your submission within 2 working days. If you do not receive one, please check out first your spam folder or reach out to us for assistance through our contact form in our website.

4.      Deadline extended:

All entries must be received by 18 February, 24:00 CET. (new deadline due to demand)

5.     Next steps

Once the jury has selected the participating in the exhibition photographers, you will be notified via email.

The selected participants are required to contribute  € 50,00 for covering printing and framing costs, exhibition curation and installation, administrative assistance, production management, venue hosting, design costs and media communication.

The selected photographers - artists will receive an official Certificate of Participation and Achievement in pdf form.

Awards: From the works selected for the exhibition, three will be awarded a Fujifilm Instax Mini 12 camera and Color Film Instax MIni Glossy SP 1X10 shots,

Official Prize Sponsor: Fujifilm Hellas.

The festival operates on a self-sustaining basis.

 

Terms & Conditions

  1. Original Work: All submitted photographs must be the original work of the participant.

  2. Consent from Subjects:

    • For photographs featuring identifiable individuals, the participant must obtain written consent from all subjects.

    • By submitting, the participant confirms that they have obtained all necessary permissions.

    • Organisers are not responsible for any claims arising from lack of consent.

  3. Copyright & Usage Rights:

    • Participants retain copyright ownership of their photographs.

    • By submitting, participants grant the organisers a non-exclusive, worldwide, royalty-free license to use, reproduce, display, and promote the photographs for festival’s-related purposes, including social media, exhibitions, publications, and marketing for the period of one year.

  4. Disqualification:

    • Any entry that violates the rules, contains offensive content, or infringes on copyright or privacy rights will be disqualified.

  5. Judging & Prizes:

    • Entries will be judged by the judging panel.

    • Decisions of the judges are final and non-contestable.

  6. Liability:

    • Organisers are not responsible for technical issues during submission (file corruption, loss, etc.).

  7. Data Privacy:

    • Personal data collected will be used solely for festivals administration.

    • Data will not be shared with third parties without consent.

  8. Acceptance of Terms:

    • By submitting an entry, participants acknowledge that they have read, understood, and agreed to these terms and conditions.
